The complete journey

Student-pass process at a glance

Your institution normally submits or coordinates the application through Education Malaysia Global Services (EMGS). Follow its written instructions at every stage.

1. Receive an offer

Secure an offer from an eligible Malaysian institution and confirm the programme, intake and offer conditions.

2. Prepare the file

Provide the passport, photo, academic records, English evidence, health declaration and any additional documents requested.

3. Submit through the institution

The institution checks the file and submits or manages the student-pass application through the appropriate channel.

4. Wait for review

EMGS and the relevant authorities review the application. Additional documents or corrections may be requested.

5. Complete entry steps

After approval, follow the institution's instructions and obtain a Single Entry Visa if your nationality currently requires one.

6. Arrive and endorse

Complete the required post-arrival medical screening, then follow the institution's process for student-pass endorsement.

Important: An offer letter is not visa approval, and an approval does not remove every entry requirement. Do not book non-refundable travel until your institution confirms that you are cleared to travel.
Prepare complete, clear copies

Common visa-application documents

The exact checklist can vary by programme, nationality and current policy. Your institution's current checklist takes priority.

Core documents

  • Passport with at least 18 months' validity
  • Passport data page and required visa/observation pages
  • 35 mm × 45 mm photo on a white background
  • Offer letter from the Malaysian institution
  • Academic certificates and transcripts

Supporting items

  • Health Declaration Form
  • Accepted English-language evidence
  • Yellow-fever certificate if applicable
  • Country-specific clearance or embassy documents if required
  • Insurance, personal-bond and institution forms as instructed

Passport details matter

Names, passport number, date of birth and nationality must be consistent across every document. EMGS currently requires at least 18 months' passport validity, and some nationalities must provide every passport page.

For a one-off student pass, EMGS recommends passport validity extending at least 12 months beyond the intended study duration.

Do not travel too early

Before travelling to Malaysia

Wait for written confirmation and complete the entry steps that apply to your passport.

1

Check the approval details

Confirm your name, passport number, institution, programme and validity dates. Report any error immediately.

2

Check whether an SEV is required

Single Entry Visa requirements depend on nationality and current immigration rules. Use the official EMGS country checker and follow your institution's instructions.

3

Carry the required documents

Keep your passport, approval document, offer letter, entry visa where applicable, travel details and health documents accessible during travel.

Final travel check

  • Institution confirms you may travel
  • Passport remains sufficiently valid
  • SEV completed if required
  • Arrival details shared with the institution
  • Yellow-fever card carried if applicable
Your first days in Malaysia

Medical screening and student-pass endorsement

New international students must complete the required local steps promptly after arrival.

Report to your institution

Follow its arrival, document-submission and registration instructions as soon as you reach Malaysia.

Medical within 7 working days

EMGS states that new students must attend post-arrival medical screening at an EMGS panel clinic within seven working days of arrival.

Complete endorsement

After the required checks, follow the institution's instructions for passport submission, student-pass endorsement and registration.

Do not delay the medical: EMGS says it cannot initiate the supporting or endorsement stage for a new student's pass until the required screening is completed.
Plan without guessing

Fees, processing time and status updates

There is no single amount or guaranteed processing period for every student.

Fees vary

Charges can depend on the pass duration, insurance, medical screening, multiple-entry visa, institution and other official items. Request a written breakdown for your case.

Timing varies

Completeness, corrections, programme, nationality and official review can affect the timeline. Apply early and avoid travel commitments until cleared.

During review

  • Monitor the official application status
  • Reply quickly to document requests
  • Do not submit conflicting versions
  • Keep your passport available and valid
  • Ask before making non-refundable bookings
Always check the current rule
